Booking Form

The prices quoted are for payment through our Website via our Payment Gateway Providers: Instamojo or RazorPay, NEFT/IMPS/Wire transfer, Cheque or Cash payable in Kaza, Spiti. The tour price is payable to Ecosphere 30 days prior to departure. Failure to pay by that date entitles Ecosphere to cancel your booking without notice and without refund of the deposit. Prices may be quoted in Rupees / US dollars / Euros. For some special trips, the booking date may be up to 2 months before departure.

A bank charge would be applicable for payments through online modes. This is charged by our payment gateway partners directly to provide you with an online payment service.

If it becomes necessary to cancel your trip, you must notify Ecosphere immediately in writing on [email protected]. Once we receive your notice, cancellation will take effect.

Please note that the following charges will apply on cancellation for all our Trips including our Travel & Volunteer Trips:

• More than 30 days prior to departure, 10% of the tour price will be forfeited;
• Before 15 days prior to departure, 50% of the tour price will be forfeited;
• Less than 14 days prior to departure, 100% of the tour price will be forfeited.

The tour price is quoted as a package. No partial refunds or credit will be given for services not used. Please note that the above quoted amounts may change without notice. We also recommend that you obtain travel insurance upon booking.

The following charges will apply on all our Volunteer Programs / Volunteer Experiences:

• More than 60 days before start date – 10% of the total cost will be deducted.
• Between 60 to 30 days before start date – 50% of the total cost will be deducted.
• Less than 30 days before start date – No refund will be issued.

Participants must be in good health and reasonable physical condition. It is vital that participants with medical problems make them known to us well before departure. If you suffer from severe muscular, chest, heart or bronchial disorders, or if you are a severe asthmatic, or have very high blood pressure, you are strongly advised against participating in any of our trips that take you to high altitudes. All medical / evacuation expenses will be the responsibility of the participant. No refund of the tour price (in whole or in part) or any other compensation for any injury, loss or damage will be provided in the case that you are unable to complete the trip due to health issues.

Personal travel insurance is not included in the tour price. We strongly recommend that you take out travel insurance including cancellation insurance upon booking. Ecosphere may require that a policy is held prior to departure.

Ecosphere will accept no liability for any damage, losses and expenses suffered by any client as a result of sickness, quarantine, weather conditions, war, strikes, riots or any other cause outside our control.

Ecosphere may for any reason change the date of departure or conclusion of the tour, or it is possible that a route change, postponement or delay (either in relation to departure or to the duration of the trip) may become necessary due to inclement weather, snow and ice conditions, political restrictions, epidemics or pandemics or any other cause. In the event of a change, postponement or delay, participants have no right to refund of the tour price (in whole or in part) or other compensation for any injury, loss or damage.

Ecosphere reserves the right to cancel any trip in which case participants will be given a refund in full. However, you will not be entitled to make any further claim for any injury, loss, expenses or damage (either direct or consequential) or for any loss of time or inconvenience which may result from such cancellation (including but not limited to visa, passport and vaccination charges, or departure, gear purchases, airport and airline taxes).

Package prices are based on numerous factors including, but not limited to, ground costs, number of participants, airfares, exchange rates, etc. Ecosphere tries its utmost not to increase tour prices (in full or part), however sometimes increases are outside its control. We reserve the right to amend tour prices (or any part) without notice at any time before and including the departure date. Amendments may be necessitated for many reasons including, but not limited to, increased fuel costs, minimum participant fulfilment, exchange rate fluctuations, airfares, airport charges etc. Any increase in tour prices must be paid prior to the departure date. If you have availed a discount or offer on the package price, it will be subject to minimum participant fulfilment for that particular fixed departure. The minimum required number will be determined by the Company based on the type of departure. GST is applicable on the total costs.

Foreign Nationals require an Inner Line Permit to travel to certain parts of Ladakh & Spiti and if you are traveling in or exiting Spiti via the Shimla/ Kinnaur side. Please note certain nationalities like Pakistani, Chinese, Bangladeshi, to name a few; cannot obtain an Inner Line Permit and will not be allowed to travel where the Inner Line Permit is needed. No refund of the tour price (in whole or in part) will be provided in the event that you are unable to obtain an Inner Line Permit.

The following items are excluded from the tour price:

• visa, passport, travel insurance and vaccination charges;
• inner line permit for foreign nationals;
• departure, airport and airline taxes;
• extra meals not included in the itinerary;
• laundry, postage, telephone expenses, personal clothing, medical expenses, personal travel/ medical insurance and items of a personal nature;
• emergency evacuation charges; and
• tips and excess baggage charges.

Ecosphere reserves the right to withdraw tour membership from anyone whose behavior is deemed likely to affect the smooth operation of the tour or adversely affect the enjoyment and personal safety of other participants. Ecosphere shall be under no liability to any such person.

By my online signature/acknowledgement as set forth on the booking form I acknowledge and confirm the following: I waive any and all claims I may now and in the future have against, and release from all liability and agree not to sue Ecosphere and its officers, employees, guides, agents or representatives (collectively its staff) or the licensor for any personal injury, death, property damage, or loss sustained by me as a result of my participation in an adventure trip with them, due to any cause whatsoever, including without any limitation, negligence on the part of Ecosphere its staff and licensor.

I am aware that your trip, in addition to the usual dangers and risks inherent, has certain additional dangers and risks, some of which may include: physical exertion for which I may not be prepared; weather extremes subject to sudden and unexpected change; remoteness from normal medical services; evacuation difficulties if I am disabled.

I accept all the inherent risks of the proposed trip and the possibility of personal injury, death or property damage or loss resulting therefrom. I acknowledge that the enjoyment and excitement of adventure travel is derived in part from the inherent risks incurred by travel and the activity beyond the accepted safety of life at home or work and that these inherent risks contribute to such enjoyment and excitement, being a reason for my participation.

I understand that Ecosphere will not take responsibility for reimbursements in the event that I am unable to complete the trip due to high altitude sickness and/or other personal reasons not warrantable, directly or indirectly to Ecosphere or it agents and any other parties acknowledged by Ecosphere as its agents.

I agree that if I suffer injury or illness Ecosphere can, at my cost, arrange medical treatment and emergency evacuation service, as they deem essential for my safety. In entering into this Agreement, I am not relying on any oral, written nor visual representations or statements by Ecosphere or its staff or any other inducement or coercion to go on an adventure trip, hence, only of my own free will.

I also recognize that I may need to be offered assistance during the experience during which there may be close contact or touch when putting on equipment, lending a hand when needed, putting on equipment the right way, checking proper processes while on water or land ; all of these are in the interest of your safety ; and cannot be misconstrued in any other manner whatsoever.

I also give Consent, and grant to Ecosphere an irrevocable, royalty free, sub-licensable, right and license (in perpetuity and on worldwide basis), to use my Attributes for the promotion of Ecosphere and/or the Event and Ecosphere’s sponsors and partners and/or any other purpose that Ecosphere deems fit, anywhere in the world and on any medium physical, broadcast or digital (including on the internet and social media) or any other media which may become known in the future. Further, I waive all moral rights and personality rights, including any right to have my name affixed to each usage of my image, under applicable law, to the extent permissible, in respect of the aforesaid license grant.

“Attributes” shall mean my: (i) name, image, reputation, nickname, voice, fame and other characteristics or personal attributes of any kind and/or (ii) pictures, photographs, video recording, audio-recording and any other portrayal of any kind arising out of my participation and/or involvement in the Event.

I confirm that I have read and understood the terms and conditions of the contract and this Agreement prior to signing it and agree that the terms & conditions and this Agreement will be binding upon my heirs, next of kin, executors, administrators, and successors.
